Privacy Policy.

The Aeromedical Society of Australasia (ABN 50 922 305 821, "the Society", "we", "us") is committed to protecting your privacy. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

What we collect

Depending on how you use this website, we may collect:

  • Member account details: your name, email address and phone number when you register an account or apply for membership
  • Organisation details: organisation name, ABN and authorised contact details for organisation and corporate memberships
  • Membership and order records: the memberships you hold, your renewal history and payment receipts
  • Technical data: anonymous usage statistics and security logs collected by our hosting provider

How we use it

  • To establish and administer your membership of the Society, including renewals and AGM voting entitlements
  • To send transactional email about your account and membership: sign-in links, receipts and renewal reminders
  • To administer scholarships, awards and members-only content access
  • To understand how the website is used so we can improve it

The Society does not sell personal information, and member details are never shared for third-party marketing.

Third-party services

The following services process limited data on our behalf:

  • Cloudflare: website hosting, content delivery and security screening
  • eWAY: card payment processing. Card details are entered with, and held by, eWAY; they never touch this website's systems
  • Resend: delivery of transactional email such as sign-in links and receipts
  • Google Analytics (GA4): anonymous usage statistics, when enabled
  • Google Fonts: typeface delivery

Conference registration is handled on the separate Aeromed Conference website, which has its own privacy arrangements.

Cookies and tracking

This website uses a small number of cookies and similar technologies: a secure session cookie when you sign in to the member area, local storage for your membership cart, and analytics cookies when analytics is enabled. We do not use advertising trackers.

Security

All traffic to this website is encrypted (HTTPS). Member records are held in secured infrastructure with access limited to those who administer the Society. Sign-in uses secure one-time email links rather than stored passwords. Card payments are processed entirely by eWAY.

Retention

Membership and transaction records are retained while your membership is active and for the period required by Australian law for association and financial records, after which they are deleted or de-identified.

Your rights

Under the APPs you may request access to the personal information we hold about you, ask us to correct it, or ask us to delete information we no longer need.
